    Privacy Policy

    Vodori (“we” or “us”) provides applications that permit our Customers to manage their information. We respect and understand that our Customers, and their employees, have concerns about privacy, and we take reasonable steps to ensure that any information we receive is handled in a safe and responsible manner. This Privacy Policy covers the information practices of the website (“Site”) and applications that link to this Privacy Policy.

    Important notice about our applications

    It is important to remember that there are public and private areas of our Site and applications. Private areas are for use by registered users only. Both the public and private areas of the Site are designed to provide information to employees of our Customers or prospective Customers.

    Our Customers and their registered users maintain responsibility for the use of our applications and control what data is placed within and processed by our applications. Our applications are not intended for uploading or the processing of any Personal Information. Vodori processes business contact information provided for particular projects in order to send automated notifications and other communications regarding the status of projects being managed by our Customers within the application.

    Collection, Use, and Disclosure of Personal Information

    Vodori collects information that can identify, relate to, describe, be associated with, or be reasonably capable of being associated with a consumer or household (“Personal Information”).

    The Personal Information processed by us about you falls into four categories: (1) information voluntarily supplied by visitors to a Site; (2) information you provide to Vodori outside of your use of the Site; (3) information generated by us about you; and (4) tracking information gathered as visitors navigate through the Site.

    Information Voluntarily Provided by You

    When using the Sites or doing business with Vodori, you may choose to provide us with information to help Vodori (or our affiliates) serve your needs. The Personal Information that we collect will depend on how you choose to use the Site; and what Personal Information you share with us outside of the Site.

    Where you request information from Vodori

    If you request information from us, we require you to submit your name, e-mail address, the name of your organization, and any other necessary contact information so we may send you the material you have requested, and to enable us to identify if your employer is an existing client of Vodori.

    Where you register with Vodori and request services

    If you register with the Site, or request a service available on via our applications, we may ask you for your name, e-mail address, country, telephone number and the reason for your communication, and other information as is reasonably necessary so that we can provide you with the requested information or service. On the data submission form, we will indicate by way of an asterisk, which information is optional and which information is mandatory. This information can include:

      • Information you provide on applications or other forms, which may include your name, address, and email address;

      • Information we acquire from and/or transfer to other persons (such as government agencies, your bank, or your employer) to verify your identity and the accuracy of the information you have provided and for other related purposes; and

      • Information about you received from one of our affiliates, another intermediary, a third party provider and others which are necessary for the provision of our services.

    Any Personal Information that you send us will be used for the purpose indicated on the Site or in this Policy.

    Website Navigational Information

    As you navigate a Site, we may also collect information through the use of commonly-used information-gathering tools, such as cookies and web beacons (collectively “Website Navigational Information”). Website Navigational Information includes standard information from your web browser (such as browser type and browser language), your Internet Protocol (“IP”) address, and the actions you take on a Site (such as the web pages viewed and the links clicked). If this information is reasonably related to you, we consider it Personal Information. If Website Navigational Information cannot be reasonably related to you or your household, it is not Personal Information and not subject to this Policy.

    • We offer certain features that may be available only through the use of these technologies.

    • We use these technologies to help identify you (or your business) to us.

    • Some cookies are “session cookies,” meaning that they are automatically deleted from your hard drive at the end of a session.

    • Other cookies are “persistent cookies” meaning that they are deleted from your hard drive once the expiration date is set on the cookie is reached.

    We also use web beacons to compile information about visitors interaction with e-mails from Vodori.

    Where strictly necessary

    These cookies are essential in order to enable you to move around the website and use its features, such as accessing secure areas of the website. Without these cookies, services you have asked for cannot be provided.

    Performance

    These cookies collect information about how visitors use a website, for instance which pages visitors go to most often, and if they get error messages from web pages. They also allow us to record and count the number of visitors to the website, all of which enables us to see how visitors use the website in order to improve the way that our website works.

    Functionality

    These cookies allow our website to remember choices you make (such as your user name, language or the region you are in) and provide enhanced features. For instance, a website may be able to remember your log in details, so that you do not have to repeatedly sign in to your account when using a particular device to access our website. These cookies can also be used to remember changes you have made to text size, font and other parts of web pages that you can customize.

    Analytics

    Areas of our Site and applications use analytics services provided by our partners. Cookies used by our analytics partners help us analyze how users use the website. The information generated by the cookie about your use of the Site (including your IP address) will be transmitted to and stored by our partners. This information may be related to you and be Personal Information. It may also not be related to you and thus not be Personal Information.

    Our analytics partners use this information for the purpose of evaluating use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Our partners may also transfer this information to third parties where required to do so by law, or where such third parties process the information on our partner’s behalf.     Targeted Advertising

    Areas of the Site may also use targeting cookies or advertising cookies to collect information about your browsing habits in order to make advertising relevant to you and your interests. They remember the web pages you have visited and that information is shared with other parties such as advertising technology service providers and advertisers. These cookies enable us to serve you with advertising when you are visiting other sites (for example, to remind you of products you were interested in).     “Do Not Track”

    Some Internet browsers have incorporated the World Wide Web Consortium “Do Not Track” (“DNT”) standard. This standard, when implemented, sends a signal or preference (the “DNT Signal”) to the websites you visit indicating that you do not wish to be tracked. Because there is not yet a common understanding of how to interpret DNT Signals, nor a common definition of “tracking,” we do not currently respond to DNT Signals on the Website.

    Personal Information Collected for Marketing Purposes

    Typically, the Personal Information we collect is limited to just the data needed to respond to your request for our services: name, contact information, and employer information. We collect and use this information in the following ways:

      • If you request information about our services using a web form, you will be asked to submit your contact information, and other information about your needs, as part of the form.

      • We will use your contact information to get in touch with you. We will use project-related information you provide to customize the information about our services that we provide to you.

      • We may tie your Personal Information to web visit information we have about you for the purpose of refining our website and marketing plans and to customize the content we present to our visitors.

      • We may combine information obtained offline with information obtained online or through our interactions with you to maintain one profile.

    Personal Information Collected as Part of Delivering Our Services

    Registered users or designated system owners inside their employers provide us with contact information for the purposes of delivering contracted services to you or your employer. By providing us this information, it permits us to contact you regarding our services, our applications and the status of projects you are participating in.

    Our applications are not intended to manage Personal Information within content uploaded to the application. Personal information collected as part of delivering our services is retained pursuant to the contracts between the parties.

    Sub-Processors

    Vodori ensures that any vendor who is a sub-processor or service provider adheres to the same security standards as Vodori for the protection of the security, confidentiality, and integrity of your personal data and against unauthorized access to or alteration, disclosure, destruction or loss.

    Information Sharing and Disclosure by Us No Sale of Personal Information

    We do not sell personal information to third parties.

    Email Opt-Out

    You may opt out of our email marketing lists at any time by following the directions in our email to you, by contacting privacy@vodori.com, or calling or writing to us. Our current contact information is posted at www.vodori.com/about/contact.

    Note that even if you opt out of our email marketing list, if your email address is associated with an active user of our applications, you will still receive service or policy-related communications. To the extent any user remains listed as a contact for any content within an application, it is up to the user or customer administrator to delete the email.

    Security

    We store and process personal information in Pepper Cloud on servers and computers we control in the U.S. We use technical and administrative security measures intended to reduce the risks of loss, misuse, unauthorized access, disclosure and alteration. Some of the safeguards we use are firewalls and data encryption, physical access controls to data centers, and information access authorization controls. However, due to the nature of the Internet and related technology, we cannot absolutely guarantee the security of Personal Information, and Vodori expressly disclaims any such obligation.

    Web visit information and personal information you submit via a web form is stored on secure servers. Please see the Security page of our website for information on how we secure data uploaded to our applications.

    Advertising Partners

    Some of our advertising partners may use cookies and web beacons on our site to serve you with advertising when you are visiting other sites, known as retargeting. Each of these advertising partners has their own privacy policy and opt-out procedures, which are outlined below.

    Google Ads provides a retargeting service that connects the activity of Vodori with the Google Ads advertising network and the DoubleClick cookie.

    Information Sharing and Disclosure

    We do not disclose any Personal Information about you to third parties except as stated in this Privacy Policy, as otherwise permitted by law, or authorized by you.

    Third parties to whom we generally disclose information are required by law or a contract with us, to keep your Personal Information confidential and secure, and to use and disclose it for purposes that a reasonable person would consider appropriate in the circumstances and generally for purposes as follows:

    • To provide the information and services you have requested from us;
    • To notify you or allow our Affiliated companies to notify you of certain products or services offered by our affiliated companies;
    • To process transactions through data processing service providers.

    These third parties will be bound by confidentiality agreements, and will be permitted to use the information only for the purpose of providing their services for us.

    We may disclose Personal Information and Website Navigational Information when we believe it is appropriate to comply with the law, to enforce our legal rights, or to protect the rights and safety of our Customers, registered users, or others.

    Further, in the normal course of performing services for our Customers, Personal Information may be shared within Vodori and its affiliates for research and statistical purposes, system administration and crime prevention or detection.

    Because a number of the service providers we use are located in the United States, including certain Vodori affiliates, your Personal Information may be processed and stored inside the United States, and the U.S. government, courts, or law enforcement or regulatory agencies may be able to obtain disclosure of your Personal Information under US laws. Vodori’s service providers adhere to the same protections regarding the collection, use, retention, and security of data as we do.

    As we continue to develop our business, we might sell or buy assets. In such transactions, user information, including Personal Information, generally is one of the transferred business assets. Also, if either Vodori itself or substantially all of Vodori assets were acquired, your Personal Information may be one of the transferred assets. Therefore, we may disclose and/or transfer your Personal Information to a third party purchaser in these circumstances.

    Our website may include links to other websites whose privacy policies we do not control. Once you leave our servers (you can tell where you are by checking the URL in the location bar on your web browser), use of any Personal Information you provide is governed by the privacy policy of the operator of the website you are visiting.
